Small business operations checklist: daily, weekly, monthly

Operations is the unglamorous rhythm that keeps a business standing. Write it down once, assign an owner to each line, and stop relying on memory.

Daily

  • Reply to new enquiries and customer messages.
  • Check today's jobs, deliveries or appointments.
  • Record sales and expenses.

Weekly

  • Review cash in the bank and invoices overdue.
  • Follow up open quotes and proposals.
  • Team check-in: priorities, blockers, who owns what.
  • Back up critical files.

Monthly

  • Reconcile accounts and review the profit and loss.
  • Review your KPIs against targets.
  • Chase any invoice over 30 days.
  • Review subscriptions and cancel what you don't use.

Quarterly and yearly

  • File sales tax or VAT returns as required.
  • Review prices against costs.
  • Review insurance, licences and contracts due for renewal.
  • Update your written processes and policies.
